Furniture Sample Approval: What to Confirm Before Production

Review drawings, dimensions, upholstery, finishes and approval records before a custom furniture specification moves into production.

For custom furniture, the phrase “sample approved” is only useful when everyone knows what was reviewed and which version applies. A fabric swatch, finish chip, product mock-up or drawing may each answer a different question. The required samples and approval stages should be agreed for the proposed items; a physical sample is not automatic for every product.

Confirm the product definition first

Match the item name and ID to the current furniture schedule. Check the intended room, quantity, target dimensions and drawing revision. Where dimensions depend on a site measurement or coordination with fitted work, record who will confirm them and when. A finish sample cannot resolve an unclear product size or construction detail.

Review materials against the exact item

Upholstery choices may involve fabric or leather reference, colour, texture and practical requirements for the destination. Timber, veneer, metal and stone selections may need separate finish references. Record the sample code or photograph alongside the item it applies to. A visual reference from another product does not automatically define the material or performance of the proposed model.

Decide what form of approval is needed

Depending on the product and agreement, a review might use drawings, material swatches, a finish panel, a detail sample or a physical product sample. Ask what each submission is intended to prove. A finish chip can confirm colour direction but not upholstery workmanship; a drawing can confirm dimensions but not the final appearance of a natural material. The proposed approval route should reflect the actual risk and scope.

Record who approved which revision

Keep one approval record with the item ID, submitted reference, revision, date, reviewer and any conditions. If a sample is approved subject to a change, state the change in writing and confirm how the revised version will be checked. Avoid using an older screenshot or email attachment as the sole record when a later drawing or finish decision exists.

Handle changes before production

A change to size, material, quantity or construction after approval can affect feasibility, price and programme. Ask the supplier to identify the effect before the revised specification is accepted. Production should begin against the drawings, finishes and samples required by the agreed process, with responsibilities recorded for the particular order.

To prepare the first review, use a drawing and room-list checklist. Even if your references are incomplete, you can identify priority items and decisions that need attention first.
